Starting an acupuncture clinic isn't easy! Over the years, we've discovered many great products for our business...and have had to let go of so many others. We've curated a list of our favorite items and resources that we use in our own clinic. From reliable equipment to efficient software solutions, these tried-and-tested recommendations are the list we wish we'd had when we first started our clinic.

Practice Management Software 

Acusimple | EHR Software

We started out with Acusimple and used it the first few years in our business. We chose it because it was the cheapest option that still had all the features we required. It was incredibly user-friendly and easy to set up online booking, intake forms, waivers, email templates for appointment confirmations and such. Before we got to the point of needing an actual receptionist to handle patient flow in-clinic, Acusimple was our receptionist! With patient account setup, appointment booking, appointment confirmations and the intake process all online and automated, we saved a lot of time not having to hire someone or do those tasks ourselves. And because the system is geared towards acupuncturists, we found it invaluable to have access to intake forms and waivers other acupuncture clinics had generously shared on the platform. Also, customer service has always been incredibly helpful!

 

PROS:

  • Affordable

  • User-friendly

  • Good customer service

  • Easy self set-up 

  • Pre-made/shared acupuncture intake forms and waivers

  • Good integrations (Square, Fullscript, etc)

CONS:

  • Not as professional-looking as some of the other systems

  • Occasional glitches (generally resolved quickly)

Jane | EHR Software

As our clinic has grown, we decided to switch to Jane. Many of our acupuncturist friends already use and love Jane, and it made the most sense for us as we hired on more practitioners. It has all the features that we love about Acusimple, but comes out to be slightly cheaper when adding accounts for admin staff and part-time practitioners (under 24 hrs/week). It's also a lot more professional-looking. When setting up for the first time or migrating your clinic information to Jane, they offer a free onboarding call to help you set your account to clinic specifications. 

PROS

  • Competitive pricing for additional accounts

  • Professional-looking & incredibly customizable

  • Great customer service (they don't actually have a sales team - just really helpful employees!)

  • Admin/receptionist accounts are free

  • Cheaper accounts for part-time practitioners 

  • A ton of integrations (including bookkeeping, email marketing & website hosting)

 

CONS

  • Sometimes difficult to navigate on mobile

Biz Tools

Business Tools

Novo | Business Checking Account

As a new business with very little start-up capital, we opted for Novo for our business banking needs. It's a mobile banking fintech option with no minimum balance required, no monthly fees or overdraft fees, yet still has all the helpful features of a traditional bank, like mobile check deposits, free ACH transfers, fraud alerts, budgeting tools, and more. ​We've been very happy with it. Once the health of your business is established, Novo offers up to $10k in funding for when you need to expand or are in a pinch (we've not utilized this feature, but it can be incredibly helpful to use in lieu of business loans when you need quick funds.)

PROS:

  • No minimum balance required to open account

  • No monthly fees or overdraft fees

  • Clean, easy-to-navigate mobile interface

  • Lots of helpful integrations (Square, Quickbooks & more)

  • "Reserves" feature for budgeting and saving

  • Fast, flexible funding

CONS:

  • No physical location

  • No savings account/CDs

Gusto | Payroll + HR

We started out using payroll on Quickbooks, but later switched to Gusto at the behest of our CPA - and never looked back! Gusto is the equivalent of "explain it to me like I'm five..." when it comes to all things HR. We transitioned the moment we hired our first employee and her onboarding process was a breeze. Gusto covers the nitty gritty, like offer letters, reporting new hires, hiring docs & walks employees through payroll set up. We secured great healthcare and life insurance benefits for our family, as well. 

PROS

  • Easy to navigate all things HR

  • Breezy onboarding process for new hires

  • Easy payroll set up

  • Great customizable benefits packages for yourself or your team

 

CONS

  • Pricey (worth it when your business is of a certain size, but could be costly for smaller clinics)

Square | POS (Point of Sales) System 

We ultimately chose Square when setting up our business, because there were no upfront fees, they sent us a free terminal to take payments, and it integrated well with our EHR system. If you're looking to minimize the number of sites + software you're using to set up your biz, Square is a great option, as they offer features for website building, online scheduling, gift cards & loyalty programs, marketing and even payroll! We can't comment on these features, as we've not used them, however, one feature we did use and found helpful was Square funding - upon establishing the health of your business, Square will periodically offer fast funding options, which can be useful when expanding (or in a pinch).

PROS

  • Easy set up and integration with EHR, banking & bookkeeping

  • No set-up fees or monthly fees

  • A solid, reputable company that continues to expand services and offerings

  • One-stop shop for many small business needs, like POS, scheduling, marketing and more

  • Eligible for custom pricing if your biz makes over $250K

 

CONS

  • Processing fees can be slightly higher than other services
